Privacy Policy

Remote Office Corp ("Remote Office", "we", "us") operates remote-office.ai and our client platform at app.remote-office.ai, including its online store. This policy explains what information we collect across both, why we collect it, and how it is handled.

Information we collect

Forms on remote-office.ai. When you submit our contact form, or request a proposal for a Remote Office AI Business Creator package, we collect your business name, your name, email address, phone number, WhatsApp number, business address (street, city, state, postal code and country), the topic you chose (such as a website package, an Avatars or Commercial Video product, a Business Creator package, a custom project, or Anticipa), what you tell us you need, and the language you were reading the site in. If you arrived through an ad or a campaign link, we also keep the campaign tags from that link (such as utm_source), so we know which campaign brought you. This information is stored in our client management system, hosted by Supabase, and our team is notified by email through Resend so we can respond to you. If you become a client, it becomes part of your client record.

Online store (app.remote-office.ai/loja). When you purchase a package through our store, we collect your business name, your name, email and phone number. At checkout, Stripe also collects your billing address (street, city, state, postal code and country) as part of processing your payment, and we store that address as part of your client record.

Briefing form. Once your order is paid, we email you a personal link to a briefing form where you tell us about your business so we can build your site. That link does not require creating an account or logging in: the link itself is what grants access, so treat the email containing it as you would a password. It expires 30 days after we send it for a Website purchase, or 7 days for an Avatars purchase, and we may send you a couple of reminder emails if you have not completed the briefing yet. Through this form we collect the story of your business and your address (pre-filled from what Stripe collected, so you can review and correct it). The form also asks — all of it optional, and all of it up to you to fill in or leave blank — for your industry, the type of company you run, your time zone, your preferred language, your preferred way to be contacted, how you heard about us, the name of the person who decides on this project, and any website, social media or business profile links you choose to share (Instagram, Facebook, LinkedIn, TikTok, X, YouTube, Google Business, and similar). Depending on the package you purchased, the form may also ask about the pages you want, images you want shown, the email address that should receive messages from your site's contact form, your Google Business profile, and any customer testimonials you want published. If you choose to request a personalized AI avatar, we also collect the photos of yourself you upload for that purpose, and any other materials (photos, videos, documents) you choose to upload through that same form for your project.

Voice messages. On any of the forms where you send material for an order, you may choose to record up to three short audio messages (up to five minutes each) explaining what you want, or upload one saved on your phone. This is always optional. We use these recordings only to understand your order: our team listens to them and may transcribe them on our own computers. We do not use your voice to create any content, and we do not send these recordings to artificial intelligence generation providers. They are stored with the rest of your order material and deleted under the same rules.

Avatars packages. If you buy an Avatars package from the store, the link we send you leads to a shorter version of that same form. Through it we collect the reference photos of yourself you upload, whatever you write about the style and the scenes you want, your confirmation that the photos are of you and that you are the person in them, and — only if you tick it — your permission for us to show your avatar as an example of our work.

Commercial Video packages. If you buy a Commercial Video, you send us a video you record of yourself speaking, which includes your image and your voice, photos of yourself and, optionally, photos of your business location, and you tell us which language you want for the subtitles. Before we use any of it, we ask for your written authorization to use your image and voice to produce your video. We transcribe what you say to create the subtitles, and translate it if you choose subtitles in another language. We only show your video as an example of our work if you separately say yes.

Commercial Video — Avatar packages. If you buy a Commercial Video — Avatar, you do not send a video: you send photos of yourself, one or more audio recordings of your voice, the text the avatar will say and, optionally, photos of your business location. Before we use any of it, we ask for your written authorization to create, with artificial intelligence, an avatar with your appearance and a synthesized voice from your recordings, used only to say the text you approve in the videos you purchase. We keep the photos, the recordings and the avatar for up to 180 days after the last delivery, so you can buy another video without sending everything again.

Commercial Video — Character packages. If you buy a Commercial Video — Character, the video is presented by a character we create with artificial intelligence, who is not a real person. We do not collect photos, video or audio of you for this package, and we do not collect any biometric data. You pick a character from our catalog and send us the adjustments you want, the text the character will say, your business name and phone number, the language of the speech and of the subtitles and, optionally, your logo and photos of your business location. We also record which character is yours and until when, and the version of the statement you accepted on the form. We keep the text, the logo and the photos of your location, and the character reserved for you, for up to 180 days after the last delivery, so you can buy another video with the same character without sending everything again.

Animated Creatives packages. If you buy an Animated Creative, the people in the piece are created by us with artificial intelligence and are not real people. We do not collect photos, video or audio of you for this package, and we do not collect any biometric data. You send us your business name and line of business, your logo and brand colors, the offer and the price, a closing line, your website address, optionally the addresses of your business's Instagram, Facebook and TikTok pages, the language of the piece and, optionally, 3 to 8 photos of your product or its artwork. We look at the website and the social media pages you list, to get to know your business and to find images for your creative, and we keep only what we use. We also record the version of the statement you accepted on the form. We keep this material for up to 180 days after delivery, so you can buy another creative without sending everything again.

Remote Office AI Business Creator. If you hire a Business Creator package, we receive the following, only to provide the services in your contract:

• Photos of the people who will appear in your content (you and, if you choose, members of your team), to create AI avatars of them. We only use the photos of a person who has signed their own written authorization and is 18 or older. Each avatar is used only in content for your business.
• Access to your accounts. When you invite us as a user of your Instagram account, your Facebook Page, your Meta ads account or the Facebook groups where we post as your Page, we act inside those accounts only to publish the content you approved, run the ads we agreed on and post in those groups. Meta processes that activity under its own terms, and you can remove our access at any time in your Meta settings.
• Your exclusion list. If you send us a list of your current customers so we never contact them when prospecting, we treat it as confidential and use it for nothing else.
• Information about businesses. To find prospective customers for you, we collect information that businesses make public, such as business name, address, website, public business phone number and public reviews. We prospect businesses, not private individuals, and we do not build profiles of private individuals.
• Material about your conversations with prospects. You may share notes, transcripts or screenshots of conversations with the businesses we found for you, so we can improve the approach. By sharing them, you confirm you have the right to do so. We use them only for your service.
• Street photos of businesses in your area, when your package includes them. License plates, faces and personal names are not recorded.
• Your client panel, when your package includes it. The content for your approval, your approvals and comments, and the prospects found for you are kept in your account at app.remote-office.ai/conta. This data is yours, and you can ask us to export it.

Client account. Separately from the briefing link above, you can have an account at app.remote-office.ai/conta. There is no open signup: the account is only created through a link we email to the address you used to buy, and you set your password there (clicking that link is how we confirm the email is yours). Signing in sets a session cookie in your browser so you stay logged in; this cookie is required for the account to work and is never used for advertising. We do not see or store your password in readable form — it is handled by our authentication provider, Supabase.

Client environment. When you buy, we open a personal client environment for you, as our Terms describe: a private area with your orders, a private store to buy again quickly, and your avatar kept ready for your next order. You can leave it at any time from your account or, if you have not set a password yet, by writing to hello@remote-office.ai. In it, we also keep:

• Your profile — the name, phone, address and business details you choose to keep there, and, if you add one, a profile photo (stored privately in Supabase, never shown publicly).
• Your saved cards — if you choose to save a card when paying, it is stored by Stripe, not by us; we only keep the reference to your Stripe customer record. You can add, change or remove cards in your environment, on a page provided by Stripe.
• Your avatar material — the reference photos you sent and the working files our team uses to produce your material, so you do not have to send them again.
• Your delivered material — the finished images, videos and approval material we deliver to you, stored privately in Supabase so you can view and download them in your environment. You can delete any of them there at any time.
• Your email change requests — a new email address only replaces the old one after you confirm it from a link sent to the new address.

Payment is processed by Stripe; we do not receive or store your full card number. For a Website package, once your order is paid, we generate a service contract and send it to you for electronic signature through our e-signature provider, SignWell. A Business Creator contract is signed the same way, and its weekly charges are processed by Stripe on the card you authorized.

Analytics. We use Vercel Web Analytics, a privacy-friendly analytics service that does not use cookies and does not track you across other websites. It reports aggregate information such as page views and general location (country/region level), never your identity.

Language preference. If you switch the site's language, that choice is saved in your browser's local storage. It never leaves your device and is never sent to us.

Advertising. We use the Meta Pixel to measure whether a visit or a submission of one of our forms followed an ad on Facebook or Instagram, so we know whether that advertising is working. It sets a cookie in your browser and, when you submit one of our forms, tells Meta that a lead happened on this page, not who you are or what you wrote. See the list below for details.

We do not sell your data.

How we use your information

We use submissions of our forms on remote-office.ai to respond to you, prepare any proposal you asked for, contact you by email, phone or WhatsApp, and, if you hire us, to create your client record and contract. We use the information and materials you provide through the online store and the briefing form, including your address, your business profile details, and any photos and personal story you share, to design and build the website, the AI-generated avatar or the Commercial Video you purchased, and to process payment and, where one applies, the service contract for that purchase. For Business Creator clients, we use the information described above to produce and publish your content, run your ads, find and approach prospective customers for your business, and show your results in your client panel. We use analytics in aggregate to understand how our site and store are used and to improve them.

Third-party service providers

The following services process data on our behalf:

• Vercel — hosts our site and platform and provides privacy-friendly analytics.
• Google Workspace — handles delivery of email sent to our business addresses.
• Resend — delivers transactional email from the online store, such as your briefing link and reminder emails, and notifies our team of new submissions of the forms on remote-office.ai.
• Supabase — our database and file storage provider; stores order, account and uploaded-file information for the online store, submissions of the forms on remote-office.ai, and the data of the Business Creator client panel.
• Stripe — processes payments for the online store and the weekly Business Creator charges, including collecting your billing address at checkout, and stores the cards you choose to save in your client environment; we do not receive or store your full card details.
• SignWell — delivers and processes the electronic signature of your service contract.
• Microsoft OneDrive and Google Drive — store the working files (such as your photos and the avatar our team builds from them) used to produce your material, and their backup copy.
• Higgsfield — our AI image and video generation provider; receives the photos, videos and voice recordings you send for an Avatars package, a Commercial Video or a Business Creator package, the logo and the product photos you send for an Animated Creative, and, for a Commercial Video — Character, the text and the settings you send and the images of the character, only to generate the images, avatars, characters, voices and videos for your business.
• Anthropic — our AI text provider; processes the messages sent to our chat assistant (see below) and, for Business Creator clients, the text and images needed to draft your content and to analyze the prospecting material described above.
• Google Analytics (Google LLC) — measures how visitors navigate this website and the online store, including which pages are viewed, how long a visit lasts, and which campaign or link brought the visitor here. Google Analytics sets cookies in your browser for this purpose. We use this to understand which parts of our site are useful and where people get stuck. We do not sell this data, and we do not use it to identify you personally.
• Meta Pixel (Meta Platforms, Inc.) — measures whether a visit to this site, or a submission of one of our forms, followed an advertisement we ran on Facebook or Instagram. Meta Pixel sets a cookie in your browser for this purpose. We do not send it the content of what you write in our forms, and we do not sell this data.

Each provider processes data under its own privacy policy and only to the extent needed to provide their service to us.

AI chat assistant

This website and our online store at app.remote-office.ai both offer a chat assistant named Lili, which answers questions about our packages, pricing and delivery times. You can use the chat without identifying yourself — we do not ask who you are in order to answer a question.

There is one exception, and it only happens if you choose it. When Lili cannot answer something about our work, she will offer to pass the question to Diego or Nathália and ask for your email address so they can reply (your name and phone number are optional, and you can decline). If you provide it, we store that contact information and send it to our team by email, together with the text of that conversation, so they have the context before replying. We use it to answer you — not to add you to any marketing list.

When you send a message, the text of that conversation is processed by Anthropic, our AI provider, in order to generate a reply. Conversations are stored so we can review the quality of the answers Lili gives and improve them. They are deleted automatically after 180 days — the same retention period that applies to briefing material.

Lili is an AI assistant, not a person. If you ask whether you are talking to a human, it will tell you that it is not. You can reach our team directly at any time using the WhatsApp or email links shown alongside the chat.

Data retention

We keep submissions of our forms for as long as reasonably needed to respond to you and maintain ordinary business records, and delete them when no longer needed. A submission that becomes a client relationship is kept as part of your client record. Order information and your client and contract records are kept for as long as needed to serve you and to meet our legal and accounting obligations.

Briefing materials, meaning the photos, uploaded files, voice messages and written answers you submit through the briefing form, are automatically deleted 180 days after you complete your briefing. You can also ask us to delete them sooner at any time (see "Your rights" below).

The recording, photos and other material you send for a Commercial Video are deleted from our systems 180 days after we deliver your video, and you can ask us to delete them sooner at any time. For Commercial Video — Avatar packages, the photos, voice recordings and avatar are deleted from our systems 180 days after the last delivery. For Commercial Video — Character packages, the text, the logo and the photos of your location are deleted 180 days after the last delivery, and the character is retired at the same time and never offered again. For Animated Creatives packages, the logo and the product photos you send are deleted 180 days after delivery. Material processed by Higgsfield is handled under its own privacy policy.

Unless you leave the client environment, your photos, recordings, avatar, character and delivered material are kept for 12 months from your last paid purchase, and each new purchase renews that period, instead of the periods above. We email you 30 days before it ends. When it ends, or at any time you choose to leave the environment from your account (confirming with your password): your account access, the material delivered to your environment, your profile photo and saved cards are removed right away; your stored photos are deleted automatically in the following days, except material for an order still in production, which is kept until that order's delivery period ends; and our team deletes the working files and their backup copies by hand, a step a person confirms in our records. Your orders, contracts, invoices and payment records are kept as described above.

For Business Creator clients, the photos, avatars, exclusion list, prospect information, conversation material, street photos and client panel data are kept while your contract is active and for up to 180 days after it ends, so you can export them, and are then permanently deleted. You can ask us to delete them sooner. Your contract, invoices and payment records are kept for as long as our legal and accounting obligations require.

Your rights

You can ask us what information we hold about you, or ask us to delete it, at any time by writing to hello@remote-office.ai.

Anyone whose photos we used to create an avatar can withdraw their authorization at any time by writing to the same address, including after leaving the client's company. We then stop using that avatar in new content and delete it, together with the photos.

Children's privacy

This site is intended for business owners and is not directed at children under 13. We do not knowingly collect information from children.

Changes to this policy

We may update this policy as the site and our services evolve. The effective date above reflects the latest revision.
